This policy explains how we handle personal data when you use our website and contact forms.

2) What data we collect

• Contact data: name, email address, message contents (when you contact us or book a call).
• Technical/usage data: IP address, device and browser information, pages viewed, timestamps and similar diagnostic logs.
• Cookies & similar technologies: used for essential site functions and—only with your consent—analytics/measurement. See our Cookie Policy.

3) Why we use your data & legal bases (PDPL)

We process personal data only where one of the following applies: consent, performance of a contract or steps prior to entering into a contract, legal obligation, vital interests, or public interest. In particular:

• Respond to inquiries / provide information about our services – contract / pre-contract steps.
• Operate, secure and improve the website (fraud/abuse prevention, diagnostics) – public interest and/or legal obligation (where applicable).
• Compliance and enforcement (record-keeping, exercising or defending legal claims) – legal obligation.
• Marketing communications (news/updates) – consent (only if you opt in; you can withdraw at any time).

We do not rely on “legitimate interests” under the UAE PDPL.

4) Cookies & preferences

Non-essential cookies (e.g., analytics) run only after your opt-in. You can change your choices anytime via Cookie Preferences in the footer. Where supported, we honor browser privacy signals (e.g., Global Privacy Control).

5) With whom we share data (recipients)

We use vetted service providers (processors) acting on our instructions, for example:

• Website hosting/platform: Webflow, Inc. (site delivery & CMS)
• Content delivery & security: Cloudflare, Inc. (CDN, security, performance)
• Scheduling: Cal.com, Inc. (booking calls, if you use our scheduler)
• Email & productivity: our email service provider to handle inquiries

These providers may process technical logs to keep the site secure and available. We do not sell your personal data.

6) Third-party payment processors (if used)

If we accept payments through third-party processors, your payment details are handled directly by those processors under their terms and privacy notices. We do not store full payment card details.

7) International transfers

Where data is processed outside the UAE (e.g., in the United States), we implement appropriate safeguards consistent with the PDPL (such as contractual protections) to protect your information.

8) Retention

• Inquiry records: 12 months after our last interaction, then deleted or anonymized unless needed longer for legal reasons.
• Security/diagnostic logs: up to 180 days, unless required longer to investigate incidents.
• Backups (if applicable): typically overwritten within 30 days.

We keep personal data only as long as necessary for the purposes above.

9) Your rights

Under the PDPL you may request access, rectification, erasure, restriction/stop processing, portability, and to object to decisions based solely on automated processing.

How to exercise: email info@novapilot.io (or use the link in our footer). We may request information to verify your identity. We aim to respond within one month. You may also lodge a complaint with the UAE Data Office or your local authority.

10) Automated decision-making

We do not make decisions based solely on automated processing that produce legal or similarly significant effects about you.

11) Security

We use appropriate administrative, technical and organizational measures (including encryption in transit, access controls and backups). No system is 100% secure; we monitor and improve our controls.

12) Children

Our site is intended for business users and is not directed to children. If you believe a child has provided us personal data, contact us and we will delete it.

13) Changes

We may update this policy from time to time. Material changes will be highlighted on this page. The “Last updated” date shows when it changed.
